Looking for something else? Registering teams in a series

Registering a team means putting one team (or, in individual sports, one participant) into one class of one tournament. You do it yourself, in Profixio, through a short step-by-step form called the team registration wizard.

You reach the wizard from the tournament's own page: when registration is open, the page shows the Sign up button together with Deadline for registering teams: and the date.

Registration is per class, not per tournament. If your club wants three teams in three different classes, you go through the wizard three times (or, within one class, add several teams in the same pass — see the team details step).

When you finish, the team exists immediately and appears under My Teams. Whether it is confirmed depends on the tournament: some tournaments hold a team as incomplete until the registration fee is paid, and full classes put new teams on a waiting list. Both cases are explained further down.

  • After the registration: changing the team. Renaming a team, changing its logo or class, editing contact people and services, the team event log and deleting a team — see Managing a registered team.
  • Adding players and leaders. The name list, roster limits, players from other clubs and countries — see The team roster (name list).
  • How the organiser prices the tournament. Setting up participation fees per class, services and add-ons, and discounts for clubs and districts — see Fees, services and discounts.
  • The organiser's settings. Deadlines, registration rules, required documents and the extra-info form builder — see Tournament settings.
  • Getting the money in. Invoicing registered teams and following up payments — see Invoicing teams and Taking payments online.
  • Registering teams in a series season. Clubs entering teams into a league season, cooperation agreements between clubs, and the district's review of those registrations, are a separate flow — see Registering teams in a series.

Choose your federation to see rules that apply to you

Some of this page depends on your federation. Choose it at the top of the page to see the settings that apply to you.

Most tournaments use the standard club → class → team details wizard. A few federations have their own variant, decided by the federation and sport the competition belongs to, not by the individual organiser.

  • Norwegian volleyball and beach volleyball (NVBF). Beach volleyball registrations are player-based rather than club-based: you pick the class, then the players, instead of picking a club. Where a player licence is not strictly required, an extra Licence Confirmation step appears with the federation's own text and an I understand button, so you confirm you have understood the licence rules before continuing. Norwegian volleyball tournaments always use the modern registration wizard.
  • Swedish beach volleyball (SVBF). Also player-based and without a club step. You must be signed in to register at all, a player licence is required (so there is no licence-confirmation step), and for non-administrators the team-leader block is left out of the form entirely.
  • Swedish basketball (SBBF). In series registrations the club list can be shown publicly.
  • Weight-class competitions. Where the federation uses weight classes, the wizard is club → participants → (transport) → payment instead of the standard three steps, a licence is required, and only club administrators may register.

Everything else — whether a licence, a membership or a transfer is required before a player may play — is federation policy, applied on the roster and in the licence system. You can register the team before the players are licensed.

For other roles

A few things decide whether you can register at all:

  • You normally have to be signed in. The wizard sends anonymous visitors to the login page. A small number of series-style registrations are open to visitors without an account, but for ordinary tournaments an account is required.
  • Registration must be open. Profixio blocks new registrations if the tournament is cancelled, if the registration opening date has not been reached, if the tournament has already finished, or if the registration deadline has passed. If any individual class has its own, later deadline, registration stays open for that class after the tournament's general deadline.
  • Some tournaments require you to be a registered club administrator. In those tournaments you can only pick clubs you are an administrator for. If you are an administrator for exactly one club, that club is chosen for you automatically.
  • Know your class. Classes are set up by the organiser, and each one has its own fee, its own capacity and possibly its own deadline. You choose the class inside the wizard, and changing class afterwards is restricted (see "Changing or cancelling a registration").

Tournament staff (users with team-editing rights in the tournament) are not bound by the registration window: they can register teams before it opens, after the deadline, and into classes that are closed.

Have ready: the club, the class, the team name, the team leader's name, e-mail and mobile number, invoice details if the tournament invoices its teams, and any documents the organiser requires.

The wizard is headed Team registration and shows numbered steps with a Step 1/3-style counter. In a normal tournament there are three steps:

  1. Velg klubb (choose club) — search for and pick the club the team plays for.
  2. Velg klasse (choose class) — pick the class, and see its fee, deadline and capacity.
  3. Team Details — team name, team leader, contact people, invoice details, any extra questions, documents and services, and the rules you have to accept.

A fourth Payment step is added when the tournament is set up to take the registration fee online before the registration is finished.

Once you have picked a club and a class, they are shown at the top of every following step. Clicking the club name lets you Pick another club; clicking the class name lets you choose a different class. You can also click a completed step number to go back to it.

You finish with Bekreft påmelding (confirm registration). While it saves you see Saving registration.... If anything is missing you get Please correct the errors below and the fields with problems are marked.

Your progress is remembered per tournament, so if you close the page and come back, the wizard picks up where you left off rather than starting over.

Two other flows exist and look different: tournaments with weight classes, and beach volleyball tournaments where you register players rather than a club team. Those are described in "Why your registration form looks different".

Type part of your club's name in the search box (Search for your club, or Search for your club or create a new one if the organiser allows new clubs). Matching clubs are listed with their logo and the number of teams they already have in this tournament. Clubs you have used recently appear as quick-pick buttons under Recently used.

Pick a club and confirm with Use this club. To change it later, use Change on the club card.

If your club is not in the list. Whether you may add it depends on the tournament:

  • If the organiser has turned on registering new clubs, you get a Create "" as new club button.
  • If the organiser requires clubs to be chosen from the official list, you cannot create one — pick the correct existing club, or contact the organiser.
  • In international tournaments a country selector appears. Clubs from a country other than the tournament's own country may be created freely even when the club-list rule is otherwise strict.

If the club is listed but you cannot use it. In tournaments that require club administrators, you will see one of these:

  • Only club administrators can register this club — the club has registered administrators and you are not one of them. Ask one of them to register the team, or to give you access.
  • The Club Administrators has not created a Profixio Account yet — nobody at the club has an account yet. You can press Email the Club Administrator to activate a Profixio account to send them an invitation; the page then confirms An activation email has been sent to the club.

You can also expand Other teams in to see which teams the club already has in this tournament, so you do not register the same team twice.

If the tournament is set up without a club step at all, this step is skipped and a placeholder club is used instead.

The class list shows only classes that are open to you. A class disappears from the list when the organiser has closed it manually, or when its registration deadline has passed. Tournament staff see closed and expired classes too, and can still register into them.

Each class card can show:

  • Påmeldingsfrist — the class's own deadline. If the class has none, the tournament's deadline applies.
  • Max teams: and the number of teams already registered in the class, when the organiser has chosen to show it.
  • The fee. Depending on the tournament this is a single Påmeldingsavgift, or a split between Påmeldingsavgift medlemslag and Påmeldingsavgift ikke medlemslag (member and non-member clubs), or an itemised breakdown per level. Discounts your club or district already has are subtracted before the amount is shown.
  • This category has a waiting list, if the class is full or the organiser has switched the waiting list on.

Press Sign up on the class you want.

Waiting lists. A full class does not block you — you can still register, but the team is marked as waiting. Profixio decides this when the team is first created (or when it is later moved to another class), and it can happen for two reasons:

  • The whole tournament is full or its waiting list is switched on. The team is told The tournament is full.
  • The class is full or the class's waiting list is switched on. The team is told The class is full.

Two things surprise people. First, once any team in a class is on the waiting list, every later registration in that class also goes on the waiting list, even if a place frees up in the meantime — this keeps the queue in order. Second, moving a team off the waiting list is a manual decision by the organiser. There is no automatic promotion when someone withdraws. When the organiser does change it, the team leader is e-mailed: Your team was moved to the waiting list or Your team is no longer on the waiting list.

A class can also be flagged for streaming, in which case the wizard warns you before you continue — either that the class is designated as public interest and streaming reservations will not apply, or that player information will be looked up via NIF person search and players need a MinIdrett role to be included.

The last step collects everything about the team itself. Exactly which fields appear is up to the organiser, but the usual ones are:

  • Lag navn (team name), or Name of Participant in individual sports. The name has to be unique among the completed teams in the same class — and, when the class is split into levels, within the same level. If it clashes you get Team name already exists, or Duplicate team name: if you typed the same name twice in one go.
  • Add another team to the registration (or Add participant) lets you register several teams into the same class in one pass. Remove this team takes one out again.
  • Oppgi lagleder — the team leader's e-mail, name and mobile number. Set me as teamleader fills in your own details; Clear Team Leader empties them.
  • Extra contact persons — additional people who should receive information about the team.
  • Fakturainformasjon — invoice e-mail, name, address, postal code, place and Invoice Reference. Some tournaments also offer Add separate delivery address.
  • Klasse nivaa — when the class is divided into levels, you pick the team's level here ("Select this teams training level").
  • Shirt colour, extra SMS recipients ("Type one or more cell phone numbers. Example: 98765432;12345678") and other optional fields, when the organiser has enabled them.
  • Beskjed til arrangøren — a free-text message to the organiser, when the organiser has asked for one.

Extra questions. Organisers can build their own question form for a tournament. Those questions appear here as ordinary fields; some may be required.

Documents. If the organiser requires documents (for example a club confirmation), you get a file field per document type, with the organiser's own description as help text. Some document types are mandatory and block the registration until a file is attached. Accepted file types are PDF, JPG, JPEG, PNG, DOC, DOCX, TXT, XLS, XLSX, PPT and PPTX.

Voucher code. If the class has discount codes, a Voucher code field appears ("Enter a voucher code if you have one"). The code is checked when you save; an invalid code is rejected rather than quietly ignored.

Rules. When the organiser has published tournament rules, a Terms and Conditions block appears with a Show rules button and a required I Accept choice. You cannot finish the registration without accepting.

Organisers can offer services and add-ons — accommodation, meals, extra passes, merchandise — and choose which of them are shown during registration. Those appear directly in the team details step, so you order them in the same pass as the registration.

What you can see on each service:

  • Price per item and a running Sum for the order.
  • A (*) marker and the note NOTE: You must order this service for the registration to be valid on services the organiser has made mandatory.
  • Left in stock when there is a limited number, and Maks antall per lag: when there is a per-team cap. When a service is sold out, the organiser's own sold-out message is shown instead.
  • Size or variant rows, when a service is split into sub-options.
  • This service can only be changed by the tournament staff. on services locked to the organiser.

Services are also editable after the registration, from the team's own page, until the organiser's service deadline passes. After that you get The deadline for ordering services has passed. with the date, and only the organiser can change the order.

Ordering services can matter for the team's status, but only in tournaments where the organiser has switched on the setting that requires at least one service to be chosen. In those tournaments a team with nothing ordered is held as needing approval until it orders one. The (*) marker on a single service does not on its own put the team on hold.

Prices are shown in the tournament's currency, as the organiser entered them. Profixio does not show a separate VAT line during registration.

Most tournaments let you register first and settle the money afterwards — the organiser invoices the club, or sends a payment link. In those tournaments the registration is complete the moment you press Bekreft påmelding, and being unpaid does not put the team on hold.

Some organisers switch on payment-first. Then:

  • An extra Payment step is added to the wizard, with the notice "Vi gjør oppmerksom på at påmeldingsavgiften må være betalt før påmeldingen er endelig" — the registration fee must be paid before the registration is final.
  • A Pay now button shows the amount to pay.
  • Until it is paid, the team is stored with the status incomplete. The team exists and the organiser can see it, but it is not counted as a finished registration.
  • The confirmation e-mail is held back until the fee is paid.

Depending on how the tournament's payment provider is set up, pressing pay either opens the payment step inside Profixio or sends you to the tournament's online payment page.

If the tournament can only invoice you rather than take a card payment, the form tells you so, including any invoice fee, before you finish.

Once the payment is registered, the team's status is recalculated automatically and the team becomes a normal, complete registration.

When the registration saves, you are taken to My Teams for that tournament and see a confirmation that the team was saved. The team is now visible to the organiser and to you.

Confirmation e-mail. Unless the organiser has switched registration e-mails off entirely, the team leader receives a confirmation e-mail ("Informasjon om din påmelding") with the details of the registration. If the team landed on a waiting list, a different e-mail is sent instead, with the subject Your team is on the waiting list. If the tournament requires payment before the registration is final, no e-mail goes out until the fee is paid.

From My Teams you can open the team to add players to the roster, change contact details, order or adjust services, and follow the team's economy — all subject to the organiser's deadlines.

Team status. Profixio keeps a status on every team, and recalculates it whenever payments or required services change:

Status Meaning
Ok Everything the organiser required is in place
Trenger godkjenning The tournament requires at least one service to be ordered, and none has been
Makker ønskes A partner is still being looked for (pair and individual sports)
Ikke fullført The registration is incomplete — typically the fee has not been paid in a payment-first tournament

A team that is on a waiting list is a separate flag from the status: a waiting-list team can be perfectly "Ok" and still be waiting for a place.

You can keep working on a team after registering it, but different parts have different deadlines. In general you may change a team if you are its team leader or a club administrator with access to it, or tournament staff.

What you want to change Until when
Team name In series play where the federation has locked name changes: until the registration deadline, and only while the class is still open for registration. Otherwise not deadline-bound
Class Until the registration deadline, and only while the team has no matches yet
Contact people, invoice details No separate deadline
Ordered services Until the organiser's service deadline
Players on the roster Until the organiser's player/name-list deadline, in tournaments that use the player list
Cancelling (deleting) the team Until the registration deadline, and only while the team has no matches yet

Two practical consequences:

  • Once matches have been generated, you can no longer change the class or delete the team yourself. Ask the organiser — they can still do it in some cases.
  • After the registration deadline, the team stays, but the class is locked. Withdrawing after the deadline is a conversation with the organiser, not a button.

Deleting a team is not blocked by unpaid or already-paid fees. Money that has been paid or invoiced is settled separately with the organiser.

The step-by-step screens for changing a team, and the organiser's own view of registrations, are covered in Managing a registered team.

The wizard is built from the organiser's settings, so two tournaments can look quite different. If a step or field you expected is missing — or one you did not expect appears — it is almost always one of these settings.

Setting or condition What it does to the registration Where it is set
Registration opening date Before it, nobody except tournament staff can register Tournament settings, deadlines
Registration deadline After it, new registrations are blocked and the class can no longer be changed or the team deleted Tournament settings, deadlines
Class deadline Overrides the tournament deadline for that one class, in both directions Class settings
Class closed The class is hidden from the class list Class settings
Class max teams / class waiting list Full or waiting-listed classes still accept registrations, but the team is flagged as waiting Class settings
Tournament max teams / tournament waiting list Same, but for the whole tournament Tournament settings
Tournament cancelled Registration is refused entirely Tournament settings
Registration in the app switched off Registration is refused for that competition Federation / sport base data
Skip club step The club step disappears and a placeholder club is used Tournament settings
Register new clubs Adds the Create "" as new club option Tournament settings, club registration
Club must be picked from the list Removes the option to create a new club, except for foreign clubs in international tournaments Tournament settings, club registration
International tournament Adds a country selector to the club step Tournament settings
Show accept tournament rules Adds the required Terms and Conditions block Tournament settings
Extra-info form Adds the organiser's own questions to the team details step Tournament settings, extra-info form builder
Team document types Adds file upload fields; mandatory types block the registration Tournament settings, team documents
Show message to organiser Adds the Beskjed til arrangøren free-text field Tournament settings, team registration
Extra SMS recipients Adds a field for additional mobile numbers, optional or required Tournament settings, team registration
Services shown in registration Puts orderable services in the team details step Fee and service setup
Mandatory service Marks the service (*) and the note that the registration is not valid without it Fee and service setup
Require at least one service Holds the team at "needs approval" until a service is ordered Tournament settings, team registration
Service deadline After it, services can no longer be ordered or changed by the club Tournament settings, deadlines
Pay first online Adds the Payment step, holds the team as incomplete and suppresses the confirmation e-mail until paid Tournament settings, online payment
Registration e-mails switched off No confirmation e-mail at all Tournament settings, e-mail
Class levels Adds the Klasse nivaa choice Class settings
Class discount codes Adds the Voucher code field Class settings
Class streaming Shows a streaming notice before you continue Class settings

The settings themselves are documented in Tournament settings and Fees, services and discounts; this table only says what each one does to the registration form.

Work through this in order — it resolves nearly every "I cannot register" report.

The Sign up button is not there at all

  1. Is the tournament cancelled? Registration is refused for cancelled tournaments.
  2. Has registration opened yet? Before the opening date, nobody except tournament staff can register.
  3. Has the deadline passed? Check both the tournament deadline and whether any class has its own, later deadline.
  4. Has the tournament already finished? Registration closes once the last match day is behind us.
  5. Is registration in the app enabled at all for this competition? For series play this is a federation-level setting.
  6. Are you signed in? Anonymous visitors are sent to the login page.

You get to the wizard but cannot use your club 7. Does this tournament require club administrators? Then only clubs you administer can be used, and the message on the club card tells you which case you are in. 8. Is the club missing from the register? If the organiser does not allow new clubs, it has to be added centrally first.

The class is not in the list 9. Is the class closed by the organiser? 10. Has the class's own deadline passed? A class deadline can be earlier than the tournament deadline. 11. Are you looking at a class that only tournament staff can see? Staff see closed and expired classes; team leaders do not.

The registration went through but nothing arrived 12. Does the tournament require payment first? Then the confirmation e-mail is held back until the fee is paid, and the team shows as incomplete. 13. Is the team on a waiting list? A different e-mail is sent in that case. 14. Has the organiser switched registration e-mails off for the tournament?
