Finishing and signing the match protocol

Finishing and signing the match protocol

Signing the electronic match protocol is what turns registered events into an official result. This page covers when the sign button appears, who signs and what they tick, what a signed protocol locks, how to correct or unlock one, and the score sheet and e-mail that follow.

Looking for something else? Editing a match and registering results

Signing is the last step of the electronic match protocol (EMP). Until someone signs, the match still has no official result: the events are registered and the running score is shown live, but the match itself is still "not played" as far as the standings are concerned.

When the protocol is signed, Profixio does four things in one go:

  • calculates the final result from the registered events and writes it to the match,
  • records who signed and when,
  • queues a recalculation of the standings for that class,
  • for some federations, e-mails the finished protocol as a PDF to the teams, the referees and the series administrator.

Signing is therefore not a formality — it is the moment the result becomes official. Nothing else in the protocol publishes a result. If a match sits there with all the events registered and the standings still show it as unplayed, the protocol has not been signed.

You sign by clicking a button, or by ticking a list of checkboxes and then clicking a button.

The Sign the protocol block only appears when all of these are true:

  1. The match has events. A protocol with no registered events cannot be signed at all.
  2. The match has been ended in the protocol. The end-of-match event (full time / match end) must have been registered. Ending a period is not enough — it has to be the event that ends the match.
  3. The match does not already have a result. If a result was entered somewhere else — the match list, the results login, an import — the sign block stays hidden, because there is nothing left to confirm. See "Fixing a match that already has a result" below.
  4. You are allowed to sign it. See "Who is allowed to sign".

Two things can still stop the signing at the moment you click:

  • Spectator count. Some federations refuse to accept a protocol with zero spectators. You get the message "The number of spectators must be greater than zero" and nothing is saved. Enter the attendance and sign again.
  • Playoff matches that must have a winner. If later matches depend on who won this one, a draw cannot be accepted. You get "Cannot sign protocol" with the explanation "Playoff matches must have a winner when other matches depend on the result." Register the extra time or the penalty shoot-out in the protocol first, then sign.
  • Opening the protocol, line-ups, leaders, shirt colours, periods and match officials — see Preparing a match in the electronic match protocol.
  • Registering events, the clock, substitutions and corrections during the match — see Reporting a match live.
  • Which events exist for your sport, and how each federation's score sheet is laid out — see Sport-specific protocols and event types.
  • Delegate reports and fair play reports, which are written after the match and are separate from the protocol — see Delegate reports and fair play reports. On a series match they appear on the match card, under the protocol.
  • Correcting a result outside the protocol, the results login for team leaders, and match-edit links — see Editing matches and results.
