Setting up a series season
How a federation or district builds a season of series play in the league admin: the season itself, the category / division / series structure, copying last season forward, registration pages, match categories and match number codes.

Profixio runs both series (league play over a season) and standalone tournaments. The screens you use to set them up are not the same.
- A standalone tournament — a weekend cup, a one-off event — is created by an organiser through the new-tournament wizard and administered from that tournament's own settings pages.
- A series season — a whole set of series that a federation or district runs across a season — is built in the league admin, one screen that lists every series in the season at once and lets you create, copy and edit them in bulk.
This page is about the second one. If you are creating a single event rather than a season of series, see Creating a new tournament instead.
A useful rule of thumb: a series usually has playing days spread over many weeks, while a tournament runs over a weekend or two. For some federations the choice also changes how players are added to a team — see Playing rights and eligibility.
On My Profixio the two are named by product: Profixio LEAGUE is your tool for setting up series play that runs over many weekends, and Profixio CUP is used for a tournament over a weekend or two.
A series that is clearly round-based and has few restrictions — one match per week, a single or double round robin, one playing surface — is set up in Profixio LEAGUE rather than Profixio CUP.
A season in Profixio is a four-level tree. Getting these four words straight makes the rest of the league admin readable.
- Season — for example
2026/2027. It has a name, a start date and an end date. One season per federation is the active one; that is the season everybody's screens default to. - Category — the broad band of competition, for example National series, Regional series, Cups. A category is reused season after season.
- Division — a division inside a category, with a gender: Men, Women or Mix. For example Division 1 Men.
- Series — the actual competition teams register for and play in, for example Division 1 Men North. Each series is one row in the league list, has its own teams, its own match programme and its own tables.
Every series also belongs to an administering association — the district (krets) responsible for running it. If the federation itself runs the series, that field is left on the federation.
Be careful with the word level: inside one series there is a second, unrelated idea also called a level — the match categories that a series is split into for scheduling and registration (group North, group South, a playoff round). Those are described under Category data further down, and in Classes, groups and competition format.
This page stops where the season structure stops. Neighbouring topics have their own pages:
- Registering teams in a series — what a club does on the registration page, cooperation agreements between clubs, and what an administrator does with the registrations that come in.
- Setting times and venues for series matches — the scheduling flow where the home club sets time and venue within a deadline.
- Administering series matches — the working list of series matches, bulk operations, walkovers and regulated results.
- Series tables and standings — how a table is calculated and published.
- Classes, groups and competition format — groups and pools, playoff brackets, table criteria and tie-breaks inside a series.
- Appointing referees across a series — the referee console, and the setting that keeps referee names hidden.
- Applying to move a series match — the match-move flow the deadline in Category data governs.
- Creating a new tournament — standalone tournaments and their wizard.
- Federations, districts, sports and other base data — the districts and sports this page assumes already exist.
- Licence types, periods and licence invoicing — including the dates that decide until when a licence keeps a player eligible.
Choose your federation to see rules that apply to you
Some of this page depends on your federation. Choose it at the top of the page to see the settings that apply to you.
Swedish handball has an extra screen, Match numbers, reached from a button on the league admin page. It is available to district and federation logins.
The screen lists the season's categories, their divisions and every series inside them, and gives each one a number field. The code is a single digit — the field refuses anything longer. These digits are building blocks for the match numbers that series matches get, so that a match number tells you which part of the competition structure the match belongs to.
- Every series has its own code.
- Federation-level users additionally get a code per category. District users only see and edit the series codes.
- At the top you choose which season you are working in, and federation users can also choose which district's series to show (or the federation's own).
Press Save when you are done; the codes are saved for every series you are allowed to edit.
Two series can be given the same digit, so keep your federation's own numbering plan next to you while you fill it in. Codes can be left empty.
For other roles
The league admin is the Leagues page in the admin area. You need a federation or district login inside your federation. Club and team logins do not reach it.
What you see is always filtered two ways:
- By organisation. Only your own federation's series.
- By season. Only the series in the season currently selected. Use the Seasons button at the top right (tooltip Switch seasons) to change season; the page reloads and everything — list, statistics, registration pages, category data — follows the new season. The season you pick stays selected for the rest of your session and for other league screens.
District administrators see only the series their own district administers — either because the series itself is assigned to them, or because the whole division is. They also do not get the Krets filter, since there is nothing for them to filter between.
The page has three tabs, switched with the buttons above the table:
- Competitions — the list of series in the season.
- Registration pages — the registration window and questions for each series.
- Category data — the match categories (levels) inside each series.
If you only see a plain read-only list with no buttons for creating or editing, the league management functions are switched off for your installation — contact Profixio support.
A new season is created from the New season button (the plus icon) in the season structure panel below the league list. It is available to federation-level users only — a district administrator does not create seasons.
Depending on your federation's setup, a district administrator signed in to Profixio can still create a new series or tournament; a series is added inside a season that already exists — see Adding a single series to an existing season. The modules the series then offers — registration, finance, match scheduling, referee setup and more — depend on the access of the person who signs in.
The wizard has three steps.
1. Copy? Choose Yes, copy structure or No, I want to build scratch. If you copy, pick the season under Copy from; the start and end dates are then proposed as the copied season's dates plus one year, and you can change them. Give the season a name under Name of new season — this is the text everyone will see in season pickers, so use the form your federation normally uses (2026/2027, Autumn 2026).
2. Series structure. Build the tree of categories, divisions and series. Click Show category, pick a category from the list and click Add category. Each category gets a plus button to Add level — one division — where you type the division name and choose Men, Women or Mix. Each division in turn gets a plus button for the series inside it. The trash icon on any row removes it from the plan. If you chose to copy, the whole tree is pre-filled from the season you copied and you edit it here — delete the divisions that are not running, add the new ones.
3. Active & summary. You get a written summary and a preview of the tree. Tick Make the session active if the new season should immediately become the one everybody sees; this replaces the previously active season. Leave it unticked to prepare next season quietly while the current one is still running.
Finish with Save season.
Three things to know before you press save:
- Nothing here is provisional — saving creates the real season, divisions and series in one go. There is no undo, so check the tree in step 3.
- The categories you can choose from are the ones already in use in the season you are currently working in. If a category you need is missing, add a division under an existing category first and reorganise afterwards, or ask Profixio support.
- The series the wizard creates have no administering association and standard match protocol settings. See the next section for the clean-up that follows.
Before the new season can be used for scheduling and referee appointment, some data must also be in place for it: the referee competence list (for example Elite, level 4), the referee roles (for example crew chief, umpire 1), the import of all referees from the organisation data, and the available times on each venue.
Copying is the normal way to start a season: last season's structure is nearly always this season's starting point.
Carried over for each series:
- The series itself, with its name, and the category and division it sits in.
- The registration classes and the match categories of the series, with their settings.
- The setting that keeps referee appointments hidden from the public.
Not carried over:
- Teams. A new season starts empty; clubs register again. (You can pull an individual team across afterwards — see Adding a team from another series below.)
- Matches and results. The new series has no match programme.
- All four dates: registration opens, registration deadline, accommodation deadline and player deadline are cleared. You set them again when you create the registration page.
- Public visibility. Every copied series starts hidden in the app and the public lists. It becomes visible when you create its registration page.
- The administering association. Series created by the season wizard — copied or built from scratch — come out with no district assigned.
- The electronic match protocol settings on the series itself: whether it uses the protocol, who receives finished protocols by e-mail, and the free-text player-name setting all fall back to the standard defaults rather than last season's values.
The start and end dates of every copied series are set to the new season's start and end dates.
So after a season copy, plan on two clean-up passes in edit mode on the Competitions list: set the administering association on every series, and check the EMP, EMP Mottagare and Spelarnamn columns. Both can be done for many series at once. If you would rather keep a single series' settings exactly as they were, copy that one series instead — the Copy competition action on a row does copy the whole series record, protocol settings included.
Edit season in the season structure panel edits the season you currently have selected. Federation-level users only.
| Field | What it does |
|---|---|
| Name | The season name shown in every season picker |
| From date / To date | The span of the season. New series created inside it default to these dates |
| Active | Makes this the federation's active season. Ticking it takes the flag away from whatever season had it — only one season is active at a time |
| Hidden | Takes the season out of the season lists without deleting anything. Use it for old seasons you no longer want people scrolling past |
A season with no name is never offered in the lists either. Seasons are ordered newest first.
Changing the active season does not move any data. Series, teams and matches stay in the season they were created in; you are only changing which season screens open on by default.
Use New competition above the Competitions list when the season already exists and you just need one more series — a late-added division, a cup, a playoff that gets its own series.
The wizard has three steps:
- Basic data — the name of the series, the season it belongs to, and the administering association (the district that will run it, or your federation).
- Structure — the category, and then the division. The division list stays disabled until you have chosen a category, because divisions only exist inside a category.
- Date & publication — the start date, proposed as the season's start date, and a tick box for creating the registration page straight away.
If you leave the registration tick box on, the registration form opens as soon as the series is created and you fill in the registration window there — see the next section. If you turn it off, the series is created but stays hidden from the public until you create its registration page later.
A newly created series comes with one registration class named after its division and one match category named after the series. Match length, number of periods and period length are taken from your federation's defaults for that sport, so you rarely need to touch them.
If the action reports that the organisation's sport configuration is missing, the federation is not yet set up for that sport — that is base data and needs Profixio support.
Each row in the Competitions list has a Copy competition action. Use it to lift one series into another season without rebuilding the whole structure.
You give the copy a name — it is pre-filled as the original name followed by (Copy) — and choose the target season. The copy gets the target season's start and end dates, keeps the original's settings, classes and match categories, and starts with no teams, no matches, no registration dates and hidden from the public.
The target season must already have a division with exactly the same name. The copy is filed under the division whose name matches the original's. If there is no such division in the target season you get Division not found and nothing is created — create the division first (through the new-season wizard or by adding a series to it) and then copy.
The same action also works within a season if you need a second, near-identical series.
The Competitions list is read-only until you press Activate edit mode. In edit mode most columns become editable directly in the table, and each change is saved as you leave the field. Press Deactivate edit mode to go back.
What you can change per series in edit mode:
| Column | What it is |
|---|---|
| Competition name | The name of the series everywhere it appears |
| Sort | The order the series is listed in. Series with lower numbers come first |
| Nivå | The category the series belongs to |
| Divisjon | The division inside that category |
| Administering association | The district that runs the series. Leaving it on the federation means the federation runs it |
| Start date | The series' start date |
| EMP, EMP Mottagare, Spelarnamn | Electronic match protocol: whether the series uses it, who receives the finished protocols by e-mail, and whether player names are free text |
| Klubb reg. resultat | Whether the organising club may register results |
Outside edit mode the same list shows read-only columns plus counts of Teams, Kamper (matches) and Klasser (classes), the last day for setting match times, and — for federations that use it — a Genius sync marker.
Reordering by dragging is only possible when the list is filtered to exactly one season and one district. With any other combination of filters, drag-and-drop is switched off; use the Sort column instead.
Selecting rows with the checkboxes gives you bulk actions: Edit selected changes the match protocol settings for many series at once, and Assign last day to schedule sets the deadline for setting match times across all matches in the selected series.
A series is invisible to clubs until it has a registration page. The Registration pages tab lists every series in the season with a status badge:
| Status | Meaning |
|---|---|
| Missing | No registration page yet. The series is not public |
| Created | A registration page exists, but the registration window has not opened yet |
| Open | Clubs can register now |
| Closed | The registration deadline has passed |
Series with status Missing get a Create button; the others get Show, which opens the same form so you can adjust it.
The form covers:
- Opens and Closes — the registration window. Opens must be before closes.
- Gender, Born year and Is senior — who the series is for. These describe the class teams register into.
- Registration levels — if teams should be able to choose between sub-groups when they register (for example North and South), add them here. The first level cannot be deleted; you get This level cannot be deleted if you try.
- Questions — the extra questions clubs must answer when registering. Each question has its text, a field type (text field, paragraph, checkboxes, radio buttons or a select list), whether it is required, and — for the choice types — the options to pick from. Questions can be reordered by dragging.
Creating the registration page also makes the series visible in the public lists and the app.
To open many series at once, tick them in the list and use Create registration page for selected competitions. The bulk action sets the same window, class details and extra questions on every selected series, and skips any series that already has a registration page, so it is safe to run over a mixed selection. Registration levels are the one thing the bulk form leaves out — series that need North/South choices have to get them one at a time. Only fill in questions in the bulk form if every selected series really should ask the same ones.
What clubs then see and do is described in Registering teams in a series.
The Category data tab lists the match categories of every series in the season, grouped by series. A match category is the unit the match programme is actually built in: a straight series has one, a series split into North and South has two, a series with a playoff round has one more.
Each series' group header has a button for adding a category. You give it a name — North, South, Playoff — and it is created with your federation's default match length, number of periods and period length for that sport.
Per category you can set:
| Field | What it does |
|---|---|
| Category code | The category's name |
| Kampflytt frist | The last date a club may apply to move a match in this category |
| Match length, number of periods, period length | The timing used when the match programme is generated |
| Category closed | Takes the category and its matches out of the public view completely |
| Category hide ranking table | The standings are not shown publicly |
| Category hide results | Results are not shown publicly |
| Register set results | The category is scored in sets |
| Allow player stats | Player statistics are collected and shown for this category |
| Extra e-mail recipients | Addresses that receive this series' notifications, on top of the normal recipients |
Tick several rows and use Edit to change everything in that list except the category code and the e-mail recipients in one go — useful when a whole season's categories need the same match length or the same match-move deadline.
Deleting a category is refused in two cases, with a message explaining which:
- It is the only category left in the series — a series must always have at least one.
- The category has matches. Delete or move the matches first.
The filters at the top let you find, for example, every closed category or every category with hidden tables across the whole season — useful when checking that a season is configured consistently before it starts.
The deeper competition-format settings — groups, playoff brackets, table criteria — are described in Classes, groups and competition format.
On a single series' page, the Teams tab has an action called Add team from another series. It is available to federation and district logins.
It is meant for the cases where a team belongs in this series but registered somewhere else: a team promoted or relegated between divisions, a team moved into a playoff series, or a team registered in the wrong series.
You choose the season and, optionally, the series to search in, find the team by name, and then pick which class and — if the series has them — which registration level it should land in. Two tick boxes, both on by default, decide whether the team's administrators and its players come along.
This creates the team in the target series. It does not remove it from the series it came from, so remember to remove the original if the team was only supposed to be in one place.
A quick reference to the season-setup fields and where they live.
| Setting | Where | What it does | Also means |
|---|---|---|---|
| Season Name | Edit season | The season's name everywhere | Empty names are hidden from every season picker |
| Season From date / To date | Edit season | The span of the season | New and copied series get these as their start and end dates |
| Season Active | Edit season, or the new-season wizard | Makes this the federation's default season | Only one at a time; setting it removes the flag from the previous season and switches your own view |
| Season Hidden | Edit season | Removes the season from season pickers | Nothing is deleted; the series still exist |
| Competition name | Competitions, edit mode | The series name | Shown publicly, in the app and on every match |
| Sort | Competitions, edit mode | Order in lists | Drag-and-drop reordering works only when the list is filtered to one season and one district |
| Nivå / Divisjon | Competitions, edit mode | Which category and division the series sits under | Moving a series changes where it appears in the structure, not its teams or matches |
| Administering association | Competitions, edit mode, or the new-competition wizard | The district responsible for the series | District logins only see series their own district administers — either directly or through the division |
| EMP / EMP Mottagare / Spelarnamn | Competitions, edit mode; also bulk | Electronic match protocol on/off, e-mail recipients for finished protocols, free-text player names | Editable for many series at once with Edit selected |

| Last day to set match times | Competitions; bulk Assign last day to schedule | Deadline for clubs to set time and venue | Cannot be set earlier than a week ago |
| Opens / Closes | Registration pages | The registration window for the series | Creating the page also makes the series public |
| Gender / Born year / Is senior | Registration pages | Who the series is for | Describes the class teams register into |
| Registration levels | Registration pages | Sub-groups a club can pick when registering | The first level cannot be deleted |
| Questions | Registration pages | Extra questions on the registration form | Types: text field, paragraph, checkboxes, radio, select list. Answers are exportable from the Competitions list |
| Match category settings | Category data | Match length, periods, Kampflytt frist, Category closed, Category hide ranking table, Category hide results, Register set results, Allow player stats | All bulk-editable; the category code and Extra e-mail recipients are not. A category cannot be deleted if it is the last one or has matches |
| Match number code | Match numbers | One digit per series, and per category for federation users | Swedish handball only. Two series can share a digit |
Exports from the Competitions list (under Export...): the season's tables, statistics for active players and staff, delegate reports, the league list itself, and the answers clubs gave to the registration questions. The table and statistics exports only appear when a season is selected; the delegate report exports are only offered to users allowed to export them.
Work down this list before assuming something is wrong.
"Clubs can't see the series / can't register."
- Does the series have a registration page? Check the Registration pages tab — status Missing means it is not public at all.
- Is the window open? Status Created means registration has not started yet, Closed means the deadline has passed.
- Was the series copied from last season? Copies always start hidden with the dates cleared, on purpose.
"The series is there but has no matches or teams." Copying a season copies the structure, not its contents. Teams register again and the match programme is generated again.
"I can't find the series in the league admin."
- Is the right season selected? The list only ever shows one season. Use the Seasons button.
- Are you a district login? You only see series where your district is the administering association, on the series or on its whole division. Series created through the new-season wizard — copied or built from scratch — have no district assigned until someone sets one, so this is the usual answer right after a new season is built.
- Is it actually a series? Standalone tournaments are not in this list.
"I can't create a new season." Only federation-level logins can. District administrators add series to a season someone else has created.
"There are no buttons for creating or editing anything." The league management functions are switched off for your installation. Contact Profixio support.
"Copying a series says Division not found." The target season has no division with the same name. Create it there first.
The structure — season, category, division, series — is the same for every federation. These parts are not.
Match numbers exist only for Swedish handball. Other federations have no match-number-code screen at all; their match numbers come from the scheduling system without a per-series code.
Default match length, number of periods and period length for new series come from your federation's settings for that sport, so a new handball series and a new volleyball series start with different timings.
Genius sync — the column marking series pushed to the external statistics system — is only shown for federations that use it (Swedish basketball).
Who may create a series varies. In most federations only federation and district staff reach the league admin at all; for Swedish wrestling, districts are also allowed to create tournaments in their own right.
Whether a series or a tournament is the right choice is partly federation policy. For federations that pull players from a national sports registry, a series requires players to be fetched from that registry with a valid licence, while a tournament allows free-text players. For Norwegian company sports the choice is made under Settings → Basic, where the default is Series: players must be fetched from the NIF player register by the club's registration officer, so that their licence and insurance are known to be approved; in a tournament, players can be registered as free text. If you choose Tournament, any players already fetched from the NIF register are included. Switching back to Series does not delete any players; the team roster is then read from the register again, so players entered as free text are not part of it. Profixio enforces the data rules; whether a given competition is allowed to run as a tournament is your federation's decision.
Season naming, category names and how a season is divided into districts are entirely up to the federation.
