Referee registration for a tournament

How referees sign up for a single tournament, and how the organiser opens, closes and configures that sign-up form from the Referee settings page. Covers why the registration link may not appear.

Looking for something else? Appointing referees across a series

Referee registration lets people sign themselves up as referees for one specific tournament. They fill in a form the organiser has configured, optionally tick which days they are available, and end up in the organiser's Referee Registrations list. From there the organiser can accept them, message them and assign them to matches.

Two things are worth separating from the start:

  • Registration = people volunteering/applying to referee this tournament. That is what this page describes.
  • Assignment = putting a referee on a match, and whether referee names are shown to the public in match lists. Those are controlled by different settings, described in Showing or hiding referees in match lists below.

Referee registration only exists for standalone tournaments. Series/leagues use a completely different referee system and never show this form.

  1. The referee opens the tournament's public page. If registration is open, a Referee Registration button appears on the tournament front page and leads to the registration page.
  2. The page requires a logged-in account with a confirmed email address. Anyone not logged in is sent to the login screen first; anyone who has not confirmed their email is sent to email verification. There is no anonymous referee sign-up.
  3. A first-time referee sees a button I want to register as referee. Pressing it creates their referee record and opens the form.
  4. The form only shows the fields the organiser turned on, plus any custom fields. Fields marked Required must be filled in.
  5. If day selection is enabled, the referee ticks the days (or morning/afternoon halves) they are available and can add a note per day.
  6. On save, the referee gets a confirmation email if the organiser has email enabled, and lands on My referee page, where they can edit their registration later.

A referee who has already registered can always come back and edit or delete their registration, even after the deadline has passed. The deadline only blocks new registrations.

  • League/series referee assignment and league referee anonymity — a different system with its own settings, its own permissions, and its own anonymity flag per division. None of the tournament settings described here affect it.
  • Assigning registered referees to matches, publishing and undoing changes: see Referee setup: assigning, publishing and restoring referees on matches.
  • The referee register, roles and referee types: see Referee register, roles and types.
  • Referee expenses, fees and billing — separate pages under the Referee menu.
  • Team registration deadlines — a different deadline entirely, even though a new tournament copies its referee deadline from it.

Other sports

Swedish beach volleyball tournaments are created with referee registration effectively switched off: the deadline is set to yesterday's date the moment the tournament is created, so registration never opens unless an organiser deliberately picks a later date. This is a one-off default at creation time, not an ongoing restriction — an organiser can still open registration normally by changing the date on Settings → Referee settings.

No other sport or federation changes how referee registration itself works; the rest of this page applies the same way everywhere.

For other roles

Everything lives in the tournament administration menu and requires the Referee admin permission for that tournament. Without it the menu entries are hidden and opening the address directly sends the user back to the start page.

  • Settings → Referee settings — the configuration page. Sets the deadline, which form fields are shown, day selection, email texts and the public referee display options. The page also prints the exact registration address you can paste to referees.
  • Referee → Referee Registrations — the list of everyone who has registered, with export, import, email/SMS, check-in and editing. You can also add a referee manually here, which is the normal fallback when someone missed the deadline. Import adds referees from an Excel file (.xlsx) whose column headings use the same field names as the export, in the language you use Profixio in. Rows without a name, and rows with the same first name, last name and email as a referee already registered for the tournament (deleted referees included) or as an earlier row in the file, are skipped; messages then show the number of imported and skipped referees. The export also has columns for name, address, phone, account number, referee type, date of birth, next of kin, allergies, country and gender.
  • Referee → Referee Assignment — putting registered referees on matches. Not part of registration.

The whole Referee menu group is only shown for standalone tournaments that are approved and have communication enabled. If the entire Referee group is missing rather than just one entry, the tournament is either a league, not approved, deactivated, or has communication switched off. Ask your federation or district administrator to switch communication on.

All settings below are on Settings → Referee settings, grouped exactly as they appear on the page.

Referee Registration. One field: "Last date a referee can register" — the only switch that opens or closes registration. Registration is open while today is on or before this date. A blank date means registration is closed, not unlimited. The page also shows the exact web address to give referees.

Fields in the Referee Registration Form. Each of the referee's personal details can be set to Hide, Show or Required: address (with postcode and city), country, sex, phone, mobile number, referee grade, bank account number, date of birth, accommodation needs, and next-of-kin name and phone. A further set of on/off toggles control: a free-text "other information" box, allergies/illness, referee type, whether the referee can indicate which classes (categories) they are able to officiate, and whether to include the district number in the referee's own reference number. There is also a Use approvement toggle, which turns the sign-up email into a request that awaits the organiser's approval. Custom fields the organiser has added appear at the bottom, after the standard ones.

Use approvement. With the toggle on, the email a referee receives on sign-up thanks them for wanting to referee and says they will get a confirmation once the referee committee has assessed the referee need, instead of welcoming them straight away. The organiser then approves referees from Referee → Referee Registrations with the Approve action, which sends an approval email to the selected referees and ticks Accepted mail sent for them. Approval is a message and a marker in the list; assigning referees to matches works the same whether or not they have been approved.

Select Days For Referees. Whether day selection is hidden, shown as whole days, or split into morning/afternoon halves — plus the range of days offered. Left blank, the tournament's own start and end dates are used; if the tournament has no end date either, five days from the start are offered.

The day choice and the class choice tell the organiser which days and which classes a referee can take. If an option is switched off, referees get no such choice during sign-up. As administrator you can change a registered referee's days and classes afterwards: with the option switched on, the same fields appear when you edit the referee in Referee → Referee Registrations. That is also how you fill in days and classes on behalf of a referee who signed up before the option was switched on.

Login Options. "Hide the referees in the public matches list?" — either Show the referees in the matches or Hide all referees in the matches. This affects public display, not who may register (see Showing or hiding referees in match lists).

Result Registration. "Show link to referees in matches list?" offers three levels: show the link but require sign-in, show the link and the list without sign-in, or hide the link entirely. The same section holds a toggle for a shared-password login ("Register Results") that lets referees report results without a personal account, and the shared password itself — if the toggle is on and the password field is empty, the settings page shows a persistent warning that it cannot work. Series tournaments get one extra toggle here, letting the organising club register results.

Email And Messages. Whether a confirmation email is sent at all when someone completes a registration, an extra text block added to that email, a message shown inside the registration form itself, and additional addresses that get a copy of every confirmation.

The confirmation email is sent once per referee. Editing a registration later does not re-send it.

Work through these in order. Stop at the first one that matches — the earlier items override everything below them.

  1. Is it a league/series, not a tournament? Leagues never show this form; they use league referee assignment instead. Nothing on this page applies.
  2. Is it a ranking tournament? Ranking tournaments never show the referee registration link.
  3. Is it a Swedish beach volleyball tournament? Referee registration is switched off for that combination by design, and new tournaments of that type are created with the deadline already in the past — see Differences per federation and sport below.
  4. Is the deadline set? Open Settings → Referee settings. If "Last date a referee can register" is blank, registration is closed. A blank date does not mean "no limit" — it means closed. This is the single most common cause.
  5. Has the deadline passed? Registration closes at the end of that date. Set a new date to reopen it.
  6. Is the person logged in with a confirmed email? The form is behind login and email verification. A referee who has not confirmed their email address will bounce to the verification screen and may report it as "the page does nothing".
  7. Has that person already registered? Existing referees do not see the I want to register as referee button — they see their own registration to edit. Check Referee Registrations for their name.

If the complaint is that referee names are not shown to spectators, this checklist is the wrong one — see Showing or hiding referees in match lists.

Fallback while you fix the cause: an organiser with Referee admin can always add a referee by hand from Referee → Referee Registrations, regardless of the deadline.

This is a separate question from whether people can register, and it is controlled by two settings in the Login Options and Result Registration sections of the referee settings page.

  • Hide the referees in the public matches list removes referee names from every public surface at once: the Referees page, the referee names on match cards, and the app/API. It is the blunt instrument.
  • Show link to referees in matches list decides who can reach the Referees list: hidden entirely, visible but only after the referee logs in, or fully public.

Even with both set to the most open values, the public Referees list stays empty or hidden when no referees have been assigned to any match yet, or when the tournament's end date has passed (volleyball tournaments are exempt and keep showing referees).

Organisers and match administrators always see referees regardless of these settings. See Hiding matches, schedules and results from the public for the full picture of what each visibility switch does.
