The club register and club administrators

How clubs exist in Profixio — the federation's club register versus the copy that lives inside a single tournament — and how club administrators are given access, what each of their roles unlocks, how the activation e-mail works, and how duplicate clubs are merged.

The word "club" means two different things in Profixio, and most confusion about clubs comes from mixing them up.

The club register is the federation's own list of clubs. There is one record per real club, it belongs to one federation and one district, and it holds the club's name, address, contact details, logo and the people who administer the club. It is the same record everywhere — in every season, every series and every tournament that federation runs. This is what club administrators, licences, playing rights, transfers and club invoices are attached to.

The club on a tournament is a copy that lives inside one single tournament. It is created when the first team from that club is registered, and it holds the details the organiser needs for that event: the club's name as it should appear in the schedule, contact person, shirt and shorts colours, a note field. Two different tournaments have two separate copies, and editing one does not change the other.

Normally the tournament copy is linked to the register record, and then the club gets its logo, its public club page and its history. Sometimes it is not linked — for example when an organiser lets people type in a club name that is not in the register, or when the club is from another country. An unlinked club still works inside its tournament, but it has no logo, it does not appear in the federation's club list, and it is not tied to the club's own page or to anything the club has done in other competitions.

A practical rule: if you are changing something that should be true everywhere, change it in the register. If you are changing something that only concerns one event, change it in that tournament.

Work through this in order — almost every "the club has no access" report is one of these.

  1. Is the person signed in with the right e-mail address? Sign in with the e-mail address your club registered for you.
  2. Has the person signed in with that address? Someone who has never used Profixio sets a first password with the forgot-password link on the login page, using exactly the address the club registered. Someone who created their own account confirms their e-mail address with the code Profixio e-mails them before their club roles apply; signing up through the club's activation mail also confirms the address.
  3. Are they working in the right role? Someone who is a club administrator and a referee, or who administers two clubs, has to pick which role they are working in. If the wrong one is active, the club's menus are simply not there.
  4. Do they have the right role in the club? Registering teams needs Team Admin, editing match times needs Match Admin, transfers need Transfer Admin, licences need License Admin. Club Main Admin covers all of them. A person with no roles at all can see the club and almost nothing else.
  5. Is there more than one record for the club? If teams, licences or players are missing, look for a duplicate club in the register — the club may be signed in to the record that has nothing on it. See Merging duplicate clubs in the register.
  6. Is the club active? A club that is set inactive disappears from club lists.
  7. Is it the tournament, not the club? In tournaments that require registrations to be made by a club administrator, someone without club access gets "Only club administrators can register this club". If the club has no administrator at all, the message is "The Club Administrators has not created a Profixio Account yet", with a button to send the club an activation mail.

Note that "Guest Access" is a federation-level login, not a club role — it never gives access to a club's administration.
