Series administrator for a match day
What the series administrator of a group's match day can do on My registrations: see the teams, players and matches, print and export, withdraw teams, make a new schedule, publish it and move matches in app scheduling.
A series administrator looks after one group's match day in a tournament: the teams of the day, their players, the match schedule and the e-mails to the team leaders. The organiser or a contact person of the hosting club chooses who it is, and the person can be the series administrator for several days.
The series administrator works from My registrations, in the section headed Series administrator. The match list, the print and Excel export and the tools for changing the day are there when the organiser has turned on Use simplified scheduling for the tournament.
For other roles
The organiser sets the series administrator per group on the Scheduling - simple page, in Step 1: Create playing dates. Each group there has a Series administrator field: enter the person's e-mail address and save the step. When the tournament's e-mail settings allow it, Profixio e-mails the person with the group, the date and the tournament, and a link to My registrations. A contact person of the hosting club's team can also set it from the team page; see Making a club contact the series administrator.
When your club hosts upcoming match days in the team's class, the team's Contact persons card shows who the series administrator of those days is, as Series administrator followed by the name. To change it, click a contact person, choose Set as series administrator and confirm the list of days. The person becomes series administrator for all of those days at once and gets one e-mail listing them.
A day counts as hosted by your club when the club's name follows the day number in the group name, as in U10 #1 Lyn. The button is offered in tournaments that use simplified scheduling, until the tournament is finished.
Open the tournament in the app and tap My registrations. The Series administrator section is shown while you are series administrator for a group in a tournament that is not finished. Pick the day in Group; the list below shows the group's teams. The button next to each team shows how many players it has and opens their names, and Print above the list prints the player lists of the day. Select one or more teams to get Send e-mail, which writes to their team leaders; tick Send a copy to myself to get a copy.
Matches under the team list opens the group's matches, with date, start time, venue, home team, away team and arena. Matches that are still hidden from the public are in the list too. Print next to it opens a print page for the group, and Export Excel downloads the same list as a spreadsheet. These three appear when the tournament uses Use simplified scheduling.
Under Change the day you can rework the group's schedule until its first match starts.
- Withdraw next to a team takes it out of the day: it stays in the list marked Withdrawn, and Undo withdrawal brings it back. The matches do not change until you make a new schedule.
- Make new schedule builds the group's matches again for the teams that are not withdrawn. Match length, break, matches per team and number of series stay as in the current schedule; you choose Match start and which of the courts the group plays on to use. If not every match fits, the form says how many will get no time or venue.
- Confirm with Make matches and wait while the schedule is made.
The new schedule replaces the group's matches that day, the referees on the replaced matches are removed, and the new matches are hidden until you publish them. When the first match has started or has a result, the section shows "The first match has started. Only the tournament administrator can make a new schedule." A message that ends in "Ask the tournament administrator.", such as "The group has matches on another date. Ask the tournament administrator.", means the change has to be made by the organiser.
The section shows how many of the group's matches are hidden from the teams and the public. Publish and send publishes all of them and e-mails the schedule to the team leaders of the teams that are not withdrawn. The subject is filled in for you, a message you write is placed above the schedule, and Send a copy to myself sends you a copy; replies go to your own e-mail address.
The button is active while the group has hidden matches, and stays until the group's day has passed. If withdrawn teams still have matches, the form reminds you to make a new schedule first. When the tournament's e-mail settings do not allow e-mail, the matches are published and the message says the e-mail was not sent.
Open app scheduling opens the tournament's match list on the group's day and arena, with every match of that day, hidden ones included. Your group's matches can be dragged to another time or court on the group's day, on the courts of the group's arena, as long as they have no result. Other matches are greyed out and stay where they are, and matches in classes the organiser has closed are not shown.
Edit match in one of your matches' menu opens its Match tab, where you set the time and court within the same limits; a place outside them gives "Choose a time and a court of the arena on the day of the group." Back takes you to My registrations. App scheduling is available while the group's day is today or later.
